QuickBooks Online in 2026: What’s New and What It Means for Your Business

If you use QuickBooks Online to run your business, there’s been a lot that’s changed this year, and we want to make sure you’re not caught off guard. From AI-powered bookkeeping and automatic mileage tracking to a refreshed reporting experience and new app integrations, QuickBooks has evolved into a connected business-management system, not just a place to record income and expenses. 

We’ve gone through the updates so you don’t have to. Here’s a plain-language look at what’s changed, what it means for you, and what to do next. 

QuickBooks Is Getting Smarter, Thanks to AI 

QuickBooks now uses AI to handle routine bookkeeping tasks: categorizing transactions, flagging anomalies before they become problems, and summarizing your cash flow and profit and loss in plain language. On a practical level, your bank feeds and reconciliations should feel noticeably faster and less tedious, with colour-coded signals flagging transactions that need your attention. Intuit reports that businesses using the AI-assisted version save up to 12 hours a month on day-to-day operations, and 62% feel more confident about their profit growth as a result (Intuit Canada). What does this mean for you? Bookkeeping should get easier, not harder. Just keep reviewing what the AI suggests before accepting it, especially anything tax-related. 

A Refreshed Reporting Experience 

QuickBooks Online has retired its Classic reports view. All standard reports moved to the modern view on June 15, 2026, and as of August 15, custom reports lost the option to switch back – modern view is now the only reporting experience available. Your data, filters, and customizations all carried over automatically, so nothing was lost. 

Track Business Mileage Automatically 

If you use a personal vehicle for business, the CRA requires you to keep records of both total kilometres driven and kilometres driven to earn business income. The QuickBooks mobile app can now track drives automatically and let you categorize each trip as business or personal, which is far more reliable than trying to reconstruct a year of trips at tax time. 

Time Tracking Is Now Built In 

If you use QuickBooks Time, you no longer need to jump between a separate app and QuickBooks Online. Time tracking now lives directly inside the platform. One login, real-time data, no more syncing or duplicate entries. If you track time, this is a genuine quality-of-life upgrade: fewer manual steps mean fewer chances for errors, and more reliable reports to work from. 

Connect QuickBooks with Business Apps 

QuickBooks Online connects with hundreds of apps designed to improve areas such as: 

  • Receipt and document collection 
  • Vendor payments 
  • Payroll and time tracking 
  • Inventory 
  • E-commerce 
  • Reporting 
  • Expense management 
  • Customer management 

Two apps our firm regularly works with are Dext and Plooto. 

Dext helps business owners collect and organize receipts, invoices, and other documents. Information can be uploaded through the mobile app or by email and synchronized with QuickBooks Online, with Dext extracting the data at over 99% accuracy. 

This can reduce manual entry, prevent lost receipts, and keep supporting documents connected to the bookkeeping. QuickBooks Online also offers receipt-capture features directly within its platform, although Dext may provide additional functionality for businesses with higher document volumes or more complex workflows. Across its user base, Dext estimates it has saved businesses millions of hours of manual work. 

Plooto helps businesses manage vendor payments and customer collections electronically. It can support approval workflows, reduce the need for cheques, and synchronize payment activity back into QuickBooks Online. Electronic funds transfers are becoming increasingly common and can reduce payment delays and the risk of cheques being lost in the mail. One Plooto customer reported cutting the time spent on bill payments by around 70% after switching over. 

Pricing Is Changing 

As of August 1, 2026, new pricing took effect for QuickBooks Online Essentials, Plus, and Advanced plans, applying on your next billing date on or after that day. New clients get a six-month grace period before the higher price applies. Check your current plan and next billing date so it doesn’t catch you by surprise, and if your plan no longer fits your business, this is a good time to review it with us. 

Moving from QuickBooks Desktop to Online 

Intuit has stopped selling Desktop products to new Canadian customers, and future development is focused on QuickBooks Online. That said, QuickBooks Enterprise and Desktop 2024 aren’t going anywhere – Intuit has moved to a continuous-update model rather than a new annual version, so as long as the subscription stays active, both continue to receive security patches, tax-compliance updates, and support (more on what’s included). It’s Desktop versions older than 2024 that are losing access to payroll updates, technical support, and security patches, and that’s where a move to Online is worth considering. 

Migrating takes planning: reviewing and reconciling your existing file, correcting duplicate or inaccurate entries, confirming what will transfer, and keeping a full backup. Payroll users need extra care to carry forward year-to-date balances, vacation amounts, source deductions, and payroll liabilities correctly. 
 
Whichever path you take, there’s an ongoing software cost either way. Desktop 2024 requires an active subscription to keep receiving updates, security patches, and support, and QuickBooks Online is subscription-based too, with cost depending on the plan and features you choose. If you’re already paying an ongoing fee, it’s worth comparing what you’re getting on Desktop against the added accessibility, automation, app integrations, and collaboration that come with QuickBooks Online.
